THE ROLE

XTX are seeking a recruitment coordinator with excellent communication and administration skills, to support our continued growth and innovation. Responsibilities may include, but are not limited to, scheduling interviews, coordinating with candidates, assisting with documentation, corresponding with recruitment agencies, accurate data entry into our ATS and responding to employee and candidate queries.

We are looking for someone who is comfortable owning the logistics of our recruitment efforts, with a strong focus on building a great candidate experience and providing seamless support to our interview teams. Recruiting is a key business activity, and you will play an important, visible role.

This will be a busy role that will work closely with our recruitment team to ensure excellent service and admin procedures are always followed. This role requires you to be in the office 4 days per week, from 8am to 6pm working hours. This will be a fixed term employment contract for an initial period of at least 6 months.

RESPONSIBILITIES

  • Support the Talent team with all administrative activities.
  • Act as first point of contact for applicants and communicate with them in an efficient, clear, and polite manner.
  • Own the scheduling and smooth running of all recruitment related activities, including scheduling interviews, ensuring prompt start times, and collecting feedback.
  • Book candidate travel and accommodation when required.
  • Support administrative related inquiries or requests.
  • Communicate with third-party recruiters and other external parties.
  • Maintain and organizing internal records related to recruitment.
  • Support HR group to perform new joiner orientations as appropriate.
  • Accurate data entry into Greenhouse.
  • Help with the organisation of recruitment events and conferences.

ESSENTIAL ATTRIBUTES

  • Proven experience in a Talent or administration/coordination role.
  • Administrative experience, specifically handling complex scheduling requests and busy diaries.
  • Experience using an ATS such as Greenhouse.
  • Good ethical judgment, with the ability to keep sensitive information confidential.
  • Previous experience working in a fast-paced environment, prioritising workload, and ensuring quality outcomes.
  • Excellent telephone, verbal, and written communication skills.
  • Strong proficiency in Microsoft Office Suite.
  • Strong critical thinking skills.
  • Strong decision-making and problem-solving skills.
  • Meticulous attention to detail.
  • Ability to accurately follow instructions.
  • Previous experience advising and working with senior members of staff is strongly preferred.
